Data Deletion Instructions

TrooNow respects your right to have your data removed. This page explains how to request deletion of your account and all associated data, including any data obtained through connected Meta (Facebook / Instagram) accounts.
1. What gets deleted
- Your merchant account (email, name, phone, business name)
- All menu items, orders, customers, loyalty members, bookkeeping records, and uploaded images linked to your account
- Any Meta access tokens we stored after you connected your Facebook Page or Instagram Business account
- All social post history, scheduled posts, and webhook configurations
- Barcode mappings, combo definitions, festival events, and all related per-tenant config
- Daily encrypted backups are retained for 14 days and then automatically purged
What we don't store in the first place
A few categories of data live outside TrooNow entirely, so there's nothing for us to delete on these when you close your account:
- Cardholder data. Customer card numbers are entered directly into Stripe — both for online orders and in-person POS sales (Stripe Checkout handoff + Stripe Terminal readers). TrooNow never sees, stores, or caches full card numbers, CVVs, or expirations.
- Stripe Terminal connection tokens. When you pair a Stripe Terminal card reader to the POS, we request a short-lived connection token from Stripe and hand it to the reader. Those tokens are not persisted on our side — they expire within minutes and live only in the reader's memory during a session.
- Stripe payment + payout history. Your Stripe account retains its own record of every charge, refund, dispute, and payout. Those records are governed by Stripe's privacy policy. To delete data from Stripe, close your Stripe account directly with them.
- Twilio SMS history. If you configured Twilio, the delivery logs live in your own Twilio account — not in TrooNow.
2. How to request deletion
Choose whichever is easiest:
Option A — From your admin dashboard (fastest)
- Log in to your admin at
yourname.troonow.com/admin/login - Go to Settings → Account
- Click Delete my account and confirm
- Your site goes offline immediately; data is permanently deleted within 30 days
Option B — Email us
Send a deletion request to support@troonow.com from the email address on your account. Include:
- Your business name or subdomain (e.g.,
bobstacos.troonow.com) - A short confirmation: "Please delete all data associated with my account."
We reply within 24 hours and complete deletion within 30 days.
Option C — Revoke from Facebook
If you only want to remove data we obtained through Meta (and keep your TrooNow account active):
- Go to Facebook → Settings → Apps and Websites
- Find TrooNow and click Remove
- Facebook will notify us automatically. Within 24 hours we delete all stored Meta access tokens, page IDs, and any cached Page / Instagram Business metadata we obtained through those tokens.
3. Timeline
- Immediate: your public site goes offline and your admin becomes inaccessible
- Within 24 hours: Meta tokens and any live API-derived data are purged
- Within 30 days: every remaining record (orders, customers, menus, uploads) is permanently deleted from our production database
- Within 44 days: final rolling backup containing your data ages out of retention
4. What we keep
We retain minimal records solely to comply with legal obligations:
- Financial records of platform subscription payments (tax law — typically 7 years), stripped of personal identifiers where possible
- Terms-of-Service acceptance records (timestamp, IP, user-agent, Terms version) for 7 years after account closure, as proof of agreement
- Anti-abuse records if your account was suspended for terms-of-service violations
These records are access-restricted and never used for any other purpose.
Your own bookkeeping records: once your account is deleted, we cannot recover your expense ledger, P&L reports, mileage logs, vendor list, or sales history. You are responsible for keeping your own copies for the retention period required by your tax jurisdiction (commonly 3–7 years in the U.S.). Use the "Download for your CPA" ZIP export from the bookkeeping dashboard before you delete your account. See Terms §7.
